HUNTSVILLE — From church picnics and family reunions to concerts, races, and neighborhood festivals, planning a community gathering may begin with a special event permit—and Huntsville officials encourage organizers to start early.

The City does not charge a special event permit application fee. Special Events Permit Officer Eric Enchelmayer said the process is intended to help organizers coordinate successful gatherings.

“We’re not trying to be in the denial business,” Enchelmayer said in an Oct. 8 City feature. “We want people to have events because it’s good for our quality of life and good for the city.”

Organizers should check permit requirements when plans involve road closures, amplified sound, food or merchandise vendors, alcohol, fireworks, temporary structures or additional public safety services. Events anticipating 500 or more people at one time also require a permit. City park gatherings require review of reservation and permitting needs.

The City’s application portal directs organizers to submit basic and enhanced event applications at least 30 days before the event. Optional minor-event applications should be submitted at least 10 days ahead. Events involving alcohol require alcohol license applications six weeks in advance.

For special events in City parks, organizers must first submit a Park Reservation Application. After receiving reservation confirmation, they complete the Special Event Permit Application. Applying does not guarantee approval, and incomplete applications will not be processed.

Huntsville uses Eproval, an online platform that requests event-specific information. Organizers may need to provide site plans, vendor documents, electrical requirements, waste management arrangements, and security details. The system also records communication and allows applicants to respond to reviewers and monitor progress.

“As you work through the application, you’ll gain a clearer picture of what your event will require, what may need extra planning and which approvals are necessary,” Enchelmayer said.
